Administration Assistant
Introduction

Role Responsibilities
Perform clerical support in an efficient manner in accordance with established procedures and directed by the supervisor. Duties include answering the phone/paging system; greeting visitors, residents, and sales representatives; receiving inquiries; and general office administrative tasks, including but not limited to record keeping, filing, data entry, client communication, and personnel support
Required Skills, Education, Licensure, and/or Certifications
• Possess a minimum of one (1) or two (2) years of experience in a clerical position.
• High School diploma or equivalent
• Excellent interpersonal and communication skills
• Proficient computer skills
• Answer incoming phone calls and understand the phone system (park calls, conference calls, voicemail).
• Understand and perform safe computing practices. Proactively train in AWCK’s cyber security program and demonstrate awareness of cyber threats (email); take the appropriate action to
avoid attacks.
• Assist Office Manager with various daily tasks.
• Order general office supplies and maintain pricing spreadsheet per vendor
• Coordinate outgoing daily mail. Use UPS WorldShip.
• Understand and utilize postage meter.
• Update social media regularly with new postings.
• Basic word processing with Microsoft Word.
• Help with occasion mass mailings (MS Word mail merge with Excel).
• Help to print and reproduce engineering plans and specs.
• Place legal advertisements in local newspapers and plan rooms.
• Create company calendar events.
• Help office manager organize / archive any company records.
• Schedule and coordinate continuing education opportunities for staff
• Greet office visitors.
• Maintain clean workspace.
• Open to representing the company at marketing events in and out of the office, including: Early Education Career Fairs, Networking Events, Community Outreach Opportunities
Preferred Experience
• Possess four (4) years of experience in a clerical position.
• Ability to perform all previously listed required skills and the following:
i. Have extended knowledge of Microsoft Office (Outlook, Word and Excel).
ii. Have experience working with Adobe Acrobat Standard.
iii. Work with and mix multimedia files (Photos, PDFs, and other formats).
iv. Understand and utilize Dropbox or other cloud platforms.
